Bookings for individual guests can be made online, over the phone, in writing, via e-mail, or by fax. Valid credit card information (incl. expiration date) is required for all bookings. Please note that the total amount for your stay has to be paid upon arrival, respectively upon departure. However, we will charge your credit card with the appropriate fees in case of cancellation or no-show. The information submitted online is legally binding and will be handled confidentially. Bookings for groups (5 people and more) can only be made in writing.
Please note, that visitors from guests can´t go up to the rooms because of security reasons. You are welcome to meet your visitors in our lobby. In violation of this rule, we are entitled at any time to cancel the accommodation contract without notice.
Payment
All our accommodation services are to be paid for completely upon arrival, respectively upon departure, either in cash or by EC, VISA, Euro/MasterCard, or American Express. Breakfast booked in addition has to be paid for in exchange for a token immediately.
Down-payment
For group bookings (5 people and more) and bookings exceeding € 300.00, a down-payment of 50% of the sum has to be transferred to our bank account. Down-payments have to be in our account at the latest two weeks after receiving the booking confirmation, for bookings on short notice at the latest two weeks before arrival. Possible transfer fees are to be paid for by the depositor.
We will only reserve that amount for credit card transactions as guarantee beforehand. For Oktoberfest bookings or bookings for other big events in Munich, we will charge your credit card with 50% of the total amount immediately. This payment is not refundable!
Cancellation
The regulations concerning cancellations of bookings for individual guest are based on the legal statutes. Online bookings can be revoked in writing within 24 hours – this does not apply for Oktoberfest bookings or bookings for other big events in Munich. Big events you can find here
Groups are obliged to report the final number of participants to Smart Stay Hotel Schweiz at the lasted 1 week before arrival. Up to 10% of the initial number of guests may be canceled gratis up to 1 week before arrival. Furthermore, the following cancellation fees apply:
• Cancellations up to 3 months before arrival: € 50.00 handling fee
• Cancellations less than 3 months before arrival: 25% of the total amount
• Cancellations less than 1 month before arrival: 50% of the total amount
• Cancellations less than 7 days before arrival: 90% of the total amount
Free cancellations are not possible for Oktoberfest bookings or bookings for other big events in Munich. In case of customer cancellations (respectively no-shows) on short notice, the sum of the stay has to be paid; saved expenditures as well as proceeds from rooms that are rented to a third party will not be taken into account!
Justified cancellations on the part of Smart Stay Hotel Schweiz have to be made in writing and at the latest 2 weeks before the day of arrival.
Youth Groups / Groups In General
Individual minors as well as groups of minors (under 18) can only be accepted if accompanied by at least one chaperone of age. Chaperones have to either stay at the hotel as well or may hand in a signed permission slip and a photocopy of their passport in person. Please be aware that we cannot accept groups of more than 10 people due to space restrictions. Should it turn out upon arrival that this rule was violated by a larger group making individual bookings, we have the right to (and probably will) resign from the guest contract!
SINGLE BOOKINGS UP TO 15 PERSONs
Bookings for single guests can be made online, by fax or in writing.
A credit card number is required for all bookings; please note however, that accommodation costs have to be paid upon arrival. Possible cancellation fees will be charged to your credit card. The information submitted when booking is legally binding.
Please note:
-Maximum stay in our house is 2 weeks
-Families with children have to book a whole room for themselves, it is not allowed to stay in a multibedroom with other guests
-Guest under 18 years can´t sleep in mixed dorm, just in rooms for them alone
Payment
All hostel services are to be paid by EC, VISA, Mastercard, AMEX or in cash upon arrival. When reservations are submitted in writing or per fax at least the 1st night of the stay must be paid in advance. The remaining amount is due upon arrival.
Cancellations
Reservations can be cancelled free of charge no later than 24 hours prior to arrival (by 2 pm). The cancellation must be in writing. Cancellations made on the telephone will not be accepted. In case of cancellation or guest does not arrive (No-Show) the 100% of the amount of the first night is charged
major events / trade fairs / Oktoberfest / exhibition BAUMA
When booking for the Oktoberfest, BAUMA and other major events and trade fairs in Munich, 100% of the balance will be charged from your credit card immediately after the online booking. In case the credit card is not working we will cancel the booking.
Please note that during the Oktoberfest period we will retain a security deposit upon arrival of € 50.00 in cash per person for a room you have fully booked. Please collect the corresponding total amount from the guests and have it available upon arrival and hand it over to a member of the reception staff against receipt. Provided there are no complaints about the condition of the room upon check-out, the full amount of the deposit will, of course, be refunded.
Free cancellations are not possible, in case of customer cancellations (respectively no-shows) on short notice, the sum of the stay has to be paid; saved expenditures as well as proceeds from rooms that are rented to a third party will not be taken into account!
GROUP BOOKINGS 16 AND MORE PERSONS
Groups of young people under the age of 18 can be accommodated only if accompanied by at least one responsible adult escort. The escorts must spend the night in the hotel. The number of adult escorts depends on the size of the group.

Payment
After returning our group contract form, fully filled in and signed, the total amount for the reservation must be paid in advance. For bookings made on short notice up to two weeks before arrival, payment is possible only per credit card. Any remittance costs shall be charged to the depositor.
Please note that upon arrival of the group we collect a security deposit of € 20.00 per person in cash. The teacher/group leader will collect the corresponding total amount and will have it available and hand it over to a member of the reception staff against receipt. Provided there are no complaints about the condition of the room upon check-out, the full amount of the deposit will, of course, be refunded to the teacher/group leader.
Cancellations
For cancellations made more than 3 months prior to arrival: 25% of the total amount;
For cancellations made less than 3 months prior to arrival: 50% of the total amount
Less than four weeks prior to arrival: 100% of the total amount plus 50% of the subsistence costs.
Up to 10% of the group members can be cancelled free of charge four weeks prior to arrival.

For group bookings (4 people or larger) and bookings exceeding € 300.00 a down-payment of 50% of the total amount (at least the total amount of the first night) is due. The due amount is to be transferred to our bank account accordingly. For stays during trade fairs (and other marked events) we need valid credit card information or alternatively a down-payment as guarantee. The down-payment has to be in our account no later than two weeks after receiving the booking confirmation, at the latest on the day of arrival. Probable banking fees are to be paid for by the depositor.
When booking for the Oktoberfest and other major events and trade fairs in Munich, 100% of the balance will be charged from your credit card immediately after the online booking. We will charge the amount related only to those special days. In case the credit card is not working we will cancel the booking. We accept group bookings up to a maximum of 6 people for the Oktoberfest. Should we notice upon arrival that this rule was violated by a larger group making individual bookings, we have the right to (and probably will) resign from the guest contract. Also, Saturday nights are bookable only in combination with Sunday nights.
Cancellation
With booking or reserving rooms or dorm beds in our hotel you agree to a guest contract. This contract is in accordance with §535 of the BGB (Statutes of Civil Law) and is legally binding for both parties. According to the regulations of the German Hotel and Restaurant Association (DEHOGA) the following applies:Reservations can be cancelled free of charge no later than 48 hours prior to arrival (by 2 pm). The cancellation must be in written forms. Cancellations made on the telephone will not be accepted. In case of cancellation or guest does not arrive (No-Show) the 100% of the amount of the first night is charged (excluding breakfast).

In case of customer cancellations (respectively no-shows) on short notice, the sum of the stay has to be paid; saved expenditures as well as proceeds from rooms that are rented to a third party will not be taken into account!
Single bookings up to 7 persons
Booking
Bookings up to 7 people can be made online, via fax or written. A valid credit card is required with its number and expiry date, but the credit card is not charged in advance, the balance of payment is due upon arrival. Credit card is only charged in case of cancellation or No-Show and only by the applicable fees. The data submitted when booking is legally binding. For group bookings (more than 7 people) regardless of the booking method a pre-payment of 50% of the total amount is required.
Payment
All services of the Hotel are to be paid by EC, Maestro, VISA, AMEX, Mastercard or cash. Payments made in advance must be credited at the latest on arrival to our account. Proof of Bank Transfer cannot be accepted as proof of payment without the amount being credited to our account. Travellers´ Cheques are not accepted.
Down Payment & Warranty
In case of groups of more than 7 people and bookings exceeding €400.00 a Pre-Payment of 50% of the Total Amount of the stay (or at least the costs of the first night) is to be transferred to our account. For reservations made for Trade Fairs and other Special Events valid credit card details or a pre-payment as a guarantee are essential. The pre-payment must be done at latest two weeks after the confirmation of reservation is issued to guest. Short Notice Bookings of that kind are to be paid no later than Arrival Day. Should there be any transfer fees or intermediary bank charges must be borne by remitter.
A cancellations cannot be made on the telephone, must be submitted written.
Cancellation
A Guest Acceptance Contract shall be completed as soon as a booking or reservation is made at our Hotel. The essential content of this contract is determined according to §535 BGB, which is binding for both parties once it is closed. In case of cancellation or guest does not arrive (No-Show) the 100% of the amount of the first night is charged (excluding breakfast).
We offer the following cancellation policy, if no other arrangements have been agreed in writing:
• up to 24 hours before arrival (till at the latest 14:00 GMT+1) for all periods with the normal price
• up to 48 hours before arrival at Trade Fair Period Nr 1. DATES: Messezeitraum 1 ----- IFA vom 03.-09.09.20, Berlin Marathon vom 25.- 27.09,20,
Cancellations and changes in the Trade Fair Period Nr 2 DATES: Messezeitraum 2 ---- ITB 03.03.- 07.03.20 , DFB Pokalfinale 22.-23.05.20, Innotrans 21.-24.09.20, Sylvester 2020 vom 30.12.20 -02.01.21 are not possible. In case of cancellation or non-arrival by the guest 90% of the total amount is charged.
Please note that cancellations must be submitted written. No cancellation can be accepted via telephone.
Special terms and conditions for GROUP BOOKINGS:
Group booking for 8 or more people
Groups of young people under 18 years can only be accommodated if accompanied by group leader(s) who is/are at least 18 years of age or older who take(s) full responsibility for the group. The number of group leaders depend on the size of the group.

In case of groups of 8 or more people being accommodated in dorm rooms, the hotel will determine the breakdown in which guests will be accommodated, unless the hotel confirmed in writing that specific rooms would be provided.
Payment
50% of the Total Amount of the reservation must be paid in advance in 4-6 weeks after returning the completed and signed group agreement form. Short notice bookings up to one week prior to arrival can only be paid by credit card. Should there be any transfer fees or intermediary bank charges must be borne by remitter.
Cancellation
• up to 3 months before arrival: 25% of the Total Amount
• less than 3 months before arrival: 50% of the Total Amount
• less than 4 weeks before arrival: 100% of the Total Amount and inclusively the Catering Costs
• up to a quantity of 10% of group members can be cancelled up to 4 weeks before arrival
The house rules are part of the Terms and Conditions. For violation of the House Rules the Smart Stay Hotel Berlin City is entitled to terminate accommodation contract without notice. For services not used on occasion of termination the money will be refunded.

Liability / Deposit
Anyone who causes damage to the building or inventory is liable for under the law (particularly the organizer or group leader). Any form of theft or intentional damage will be reported to the Police.
On departure of groups the rooms are inspected by Hotel Staff. Extreme mess left in the room or any kind of and damage will be invoiced and are payable at departure.
Smart Stay assumes no liability for luggage stored in the free Luggage Room or for vehicles or bicycle parked on premises of Smart Stay Hotel Berlin City.
Final provisions
The ineffectiveness of individual components of these terms and conditions does not affect the validity of the remaining sections.
